Keep the rules that already make the business work
We review the process with the people who perform it. A hidden spreadsheet calculation, colour code or manual check may represent important knowledge. The design should make that knowledge explicit and preserve the intended result.
Possible projects include quotation tracking, job queues, inventory views, approval tools, reporting screens and a spreadsheet-to-application transition. The scope follows the actual workflow and the exceptions a staff member must judge.
Give each role an appropriate view
A supervisor may need outstanding work across branches. A staff member may need today's assigned requests. We discuss access, edits, history and exports, along with the system the business treats as authoritative. A dashboard should support a decision rather than simply display available numbers.
Plan adoption and handover
We use representative sample records and agreed acceptance scenarios. The transition needs a decision about when the old process stops being updated; indefinite double entry can undermine the improvement. Training, documentation and ongoing support are scoped explicitly.
Answer a branch question without counting the wrong stock
Suppose a fictional retailer records ten units at one branch, with four already allocated to existing orders. A supervisor deciding whether to accept a new collection request needs the remaining sellable quantity and the time of the last update. A total of ten on a dashboard would answer a different question. A proposed inter-branch transfer also needs an owner and a receiving step before staff treats those units as ready for collection.
We can turn that decision into a focused stock-request screen using the business’s approved definitions. Review a normal allocation, a cancelled reservation and a transfer that has left one branch but has not arrived at the other. Where the underlying inventory tool cannot supply a reliable current figure, the interface should show that limitation and route the request for confirmation. The project scope names the record staff can trust and how an authorised correction reaches it.
