A portal can let customers review requests, see progress, provide information and find agreed documents. It is worth building when it removes recurring uncertainty for customers and repeated checking for your team.
Begin with one recurring exchange
A Philippines service team might need clients to approve an estimate, upload a supporting file or see which information is outstanding. We map that exchange and the staff work behind it before choosing the screens. The initial scope can focus on one complete process rather than a large collection of rarely used features.
Potential work includes customer accounts, organisation access, status histories, approvals, document handling and connections to existing business tools. Each permission needs a clear reason. Internal notes and customer-visible updates should be designed separately.
Protect the information the task needs
We agree data handling with your responsible business or privacy contact, including supplier access, retention and the use of test data. A portal is software, not a legal compliance certification. Local professional review is needed where laws or contractual duties affect the process.
Rehearse the awkward cases
What happens when a client contact leaves? Who can see another branch's request? Can staff correct a status without erasing its history? We include agreed scenarios in acceptance so the result is understandable beyond the original project team.
Keep an estimate understandable across a shift change
Consider a service business whose Cebu branch prepares an estimate while a customer’s authorised contact works overseas. The contact opens the current estimate, sees which items need a decision and can ask for a correction. When the next staff shift takes over, it should see the customer’s response beside the version they reviewed. An internal note about negotiating room belongs in a separate staff view.
If the branch revises the scope after that response, the portal should distinguish the new estimate from the one the customer approved. We can include an agreed review flow, responsible staff queue and clear customer explanation. Acceptance uses fictional contacts from two organisations to check that a forwarded link or changed account cannot reveal the other organisation’s files. The intended result is a usable conversation with appropriate access, not merely a screen labelled “approved”.
Bring an anonymised request, a typical customer question and your current tools. See portal information at a shift handover and document-upload planning. Discuss a customer portal.
